Data Privacy Policy

1. Statements of practices and policies

IdeaFarm Technology Private Limited (referred to as “Company, our, us, and/or we”) recognizes that one of the Company’s fundamental responsibility is to ensure that Company protects Personal Information (as defined below) entrusted to Company by its employees. This is critical for the maintenance of Company’s reputation and for complying with its legal and regulatory obligations to protect Company’s employee’s Personal Information.

Safeguarding employee’s Personal Information and using it in a lawful manner, consistent with employee expectations, is a cornerstone of Company‘s employee relationships. Accordingly, Company has put in place a privacy policy that sets forth principles and requirements governing the collection, usage, retention, processing, review, updating, disclosure and disposal of employee’s Personal Information (the "Policy"). This Policy is based on current laws and regulations in India. Company will comply with all obligations or standards that may become applicable in view of new laws and regulations in India.

2. Type of Personal Information collected by Company

We and our authorized Third Parties (as defined below) may collect different types of Personal Information, as permissible under laws and regulation in force in India and to develop a healthy employee-employer relationship. Personal Information may include but not limited to:

• Personal Information: Your name, age, gender, date of birth, photographs, password to Company employee portal, information relating to our Know Your Customers (KYC) obligations, any other information which is capable of identifying you.

  • Educational/qualification certificates/ documents such as proof of identity, address, age or income.
  • Biometric information that measures and analyses human body characteristics (such as fingerprints) for authentication and identity purposes.

Any information that is freely available or accessible in the public domain or furnished under the Right to Information Act, 2005 or any other law for the time being in force, shall not be regarded as Personal Information for the purposes of this Policy. IdeaFarm Technology does not collect any sensitive personal information like debit card number, CVV number, etc.

3. Purpose of Collection and Usage of Personal Information

The Personal Information that Company collects is for specific use and and/or purpose.

Company may collect such Personal Information either itself or through its Third Parties. For the purpose of this policy “Third Party” includes any service provider of Company or any Company group entity associated with Company in collecting, handling, storing, dealing, protecting, transmitting or processing Personal Information of Company employees, in India and also includes all sub-contractors, consultants and/or representatives of the Third Party.

Company may use the information provided by employees for a variety of general human resources administration and related business purposes including but not limited to the following:

• For identification, verification and background screening purposes
• To confirm to regulation requirements or comply with compliance processes
• To protect and defend Company’s or its affiliates' rights, interests or property
• To address network integrity and security issues
• For KYC purposes
• For taxation calculations, wage administration, performance evaluations, contingency planning, business travel and training, career planning and recruitment.

4. Disclosure of Information

In case Company discloses the Information to Third Parties then Company will ensure that such Third Parties are bound contractually to ensure that they protect employee Personal Information in accordance with applicable laws.

We may disclose and/or transfer your information to:

• Other companies that provide services to you through us or provide services to us by collecting, receiving, protecting, processing, storing, dealing or handling your information. To enable them to do this, we may need to share your Personal Information with them.
• Anyone we transfer our business to in respect of which you are an employee or a potential employee.
• Any other entity or organization in order for them to understand our environment in order to provide you with better employment and/or related services.
• As may be required to be disclosed to any third party by us by an order under the law for the time being in force.
• Company may share your Personal Information without obtaining your prior written consent, if mandated by law, pursuant to an order or direction of a court of law or Government agency.

5. Information Retention

Company will retain Personal Information about employees for as long as it is necessary to fulfil the purpose for which such information was collected or as may be required to comply with the internal Company’s policies or as is otherwise required under any law in force from time to time.

6. Reasonable Security Practices and Procedures

Company uses reasonable and appropriate techniques and processes to protect Personal Information. Company is committed to implement physical, electronic, and procedural safeguards to protect Personal Information against loss, misuse, damage and unauthorized access, modification or disclosure. Company continuously reviews and enhances Company’s security policies and security measures to consistently maintain a high level of security.

We maintain information pertaining to you in our business records as per current regulatory requirements.

7. Preview and Updating Personal Information

We strive to keep our records updated with your latest information. To this end, if you see any discrepancy in your personal information or if a part of your personal information changes, please write to HR.

8. Location Data

Location data is used by client to see if employee is punching within or outside geo-fence.

9. Notification of Changes in Policy

We reserve the right to update this Policy, as may be necessary, from time to time. If there are any changes or amendments to the Policy, Company will post those changes on Employee Portal so that employees are always aware of the latest privacy policy. Company will use Personal Information in accordance with the Policy and any other privacy policy under which the information was collected. By virtue of this Policy, you assent to collection, use, transfer, disclosure, retention and other processing of your Personal Information, as described in this Policy.

If employee wishes Company to address any discrepancies and grievances in relation to his Personal Information, the employee may write to sunil.talreja@ideafarm.in and Company will respond on the request in a time bound manner in accordance with applicable laws.
